Universal login
How Arketa's universal login works, what it means for clients and team members, and how to troubleshoot common account questions.
Arketa uses a universal login — one email address and password that works across every studio and platform built on Arketa. The same credentials can be used to book classes as a client at any Arketa-powered studio, and to log in to the Arketa dashboard as a team member or owner at any studio where they have a staff role.
This means one person, one account — no matter how many studios they're connected to.
How it works
When someone creates an account at any Arketa-powered studio — by booking a class, purchasing a membership, or being added manually — their email address becomes their universal Arketa login. That same email and password will work at any other Arketa studio they visit later.
For clients: They don't need to create a new account at every studio they visit. If they already have an Arketa account from another studio, they just log in. Their profile information (name, photo, saved payment method) carries over, but purchases and bookings are tied to each studio separately.
For instructors and studio owners: Team member access is separate from a client profile. A person can be a client at one studio and a team member — instructor, manager, or admin — at another, or both at the same studio, all using the same email address.
Common client scenarios
"An account already exists with this email"
This means the client already has an Arketa account from another studio. They don't need to create a new one — direct them to click Sign In on the login screen instead of trying to sign up.
A client wants to use a different email at your studio
Each email address maps to exactly one Arketa account. If a client wants to use a different email at your studio, the only way to do that is to create a brand new Arketa account under that email address. The trade-off: they'll then have two separate accounts with different login credentials — one for your studio and one for any other studios they're connected to under their original email. Their purchases, bookings, and profile from the original account won't carry over.
If they'd rather keep a single account and just update the email on it, they can change their email address in their account settings — but this changes it everywhere across all studios.
A client appears to have two accounts
This happens when a client booked with different email addresses at different times. You can combine both profiles into one from your dashboard — see Merge client accounts →.
A returning client skipped your required sign-up fields
Clients who already have an Arketa account log in directly rather than going through your sign-up form, so their existing profile is used as-is. If you need additional information from them, collect it manually by updating their profile from Customers → Clients. See Required sign-up fields →.
Setting up team member accounts
Team member access is configured separately from a client profile. Adding someone as a team member in Staff → Team grants them dashboard access — it doesn't affect their client profile or bookings.
Adding a team member who is already a client
If someone already books classes with you as a client and you want to make them an instructor or staff member:
- Go to Staff → Team and click Add New
- Enter their email address — the same one they use as a client
- Fill in their name, display name, and role
- Click Add Team Member
The same email will now work as both a client login on your booking page and a dashboard login at dashboard.arketa.com.
Adding a new instructor who isn't in your client list yet
If they've never booked at any Arketa-powered studio, they won't have an account yet. Adding them via Staff → Team creates their account at that point. They'll receive an invitation email and can set up their password from there.
An instructor can't log in to the dashboard
- Confirm their email address matches what's on file in Staff → Team
- Make sure they're going to dashboard.arketa.com — not your client-facing booking page
- If they've forgotten their password, they can use Forgot Password on the dashboard login screen
Note: Instructors with lower-level roles may have limited dashboard access. Check Staff → Team → Roles & Permissions to confirm what their role allows. See Roles and permissions →.
