Team member availability

Set up when each team member is available to take appointments.

Team member availability controls when clients can book appointments with a specific instructor. Each team member has their own availability schedule, including weekly hours, timezone, and any overrides for days off or unusual hours.

Set up availability

  1. Go to Setup → Team
  2. Click on the team member's name
  3. Go to the Availability tab
  4. Fill in the fields:

| Field | Description | |---|---| | Availability timezone | The timezone for this team member's schedule — must match the location timezone | | Start time increments | How frequently appointment slots appear (e.g., 30-minute increments = slots at 9:00, 9:30, 10:00, etc.) | | Services | Which service types this team member is available for | | Weekly hours | Their regular weekly schedule — days and hours they're available | | Overrides | Exceptions to the regular schedule for specific dates (days off, special hours) |

  1. Save

Instructor self-management

Team members can update their own availability:

  1. On the dashboard homepage, click Edit Availability (right side)
  2. Make changes
  3. Click Save Changes

This lets instructors manage their own schedule without needing admin access to do it for them.

Important prerequisites

  • Location timezone must be set first — go to Settings → Locations → [location]. If the location's timezone is missing, availability won't display correctly even if the team member's timezone is set.
  • Services must be selected — if no services are checked, the team member won't appear as an option for any appointment type.
