Transactional messages

View and customize the automated messages Arketa sends to clients for bookings, purchases, and account events.

Settings → Communications → Transactional Messages is the library of all automated messages Arketa sends to clients — booking confirmations, cancellation notices, purchase receipts, membership reminders, and more.

Arketa has 60+ transactional message templates. You can customize the content of each one to match your studio's voice.

Browse and edit templates

  1. Go to Settings → Communications → Transactional Messages
  2. Use the search box to find a message by name, or the category filters above the list
  3. Set who receives it, and the email subject line, from the Email and Text composers on the row itself. Each channel keeps its own recipients
  4. Click the message to open it, then use the Content step to edit the email body and its template variables
  5. Save your changes

Each template is one specific message with its own trigger. Class spot open goes to waitlisted clients when a spot frees up, while Class confirmation (in person) goes to a client who is already booked. When you rewrite a template's body, keep the copy matched to that trigger, or clients will receive a message that contradicts what actually happened.

Reset a template to Arketa's default

If a template's copy is no longer right, you can discard your version and go back to Arketa's:

  1. Go to Settings → Transactional Messages and open the template
  2. Click Reset to default at the bottom of the setup tab. It appears only once you have customized that template
  3. Confirm in the dialog

Your customizations for that template are lost and cannot be recovered, so copy anything you want to keep before you reset.

Template variables (handlebars)

Transactional messages support dynamic variables using handlebars syntax — for example, {{clientFirstName}} inserts the client's first name. Available variables are shown inside the editor, and work in the email body, the email subject line, and the text-message body. In the composers, Insert field drops one in at your cursor.

The variable {{partnerConfirmationEmailBody}} pulls in the Confirmation Email Body text you set in General business settings.

Turning messages on or off

Each message has a Status switch at the end of its row. It is on whenever at least one channel is sending, and turning it off stops both email and text at once. Turning it back on re-enables email.

You can also stop one channel on its own by unchecking Email or Text, or from Turn off email / Turn off text inside that channel's composer.
