Share reports and dashboards

Analytics access used to be all or nothing: a role saw every report and dashboard, or none. Now you can give a teammate exactly the numbers they need, without opening up everything else, financials included.

There are two ways to do it:

• Share one report, dashboard, saved view, or Celebrations page with specific teammates.
• Limit a role so everyone in it sees only the reports and dashboards you choose.

Sharing only ever adds access. It never takes away anything a teammate's role already gives them, and owners and admins always see everything.

Share a report or dashboard

1. Open the report or dashboard and click Share.
2. Search for a teammate by name or email and select them. You can add several people at once.
3. Choose their access level.
4. Leave Notify by email on to send them a link, and add a message if you like. Untick it to share without an email.
5. Click Share.

Everyone with access is listed under People with access. Change someone's level or remove them from the menu next to their name. Those changes save right away and don't send an email.

Reports

Level	What they can do
Viewer	Open the report, change its filters, and export it.
Owner	Everything a viewer can do, plus save views and share the report with others.

Custom dashboards

Level	What they can do
Viewer	Open the dashboard and see changes as they're made.
Editor	Add, move, change, and remove charts. Changes show for everyone who sees the dashboard.
Owner	Everything an editor can do, plus share and delete the dashboard.

Arketa-built dashboards work the same way, except an Editor's chart changes only affect their own view.

Share a saved view

A saved view keeps a report's filters, date range, and columns. Sharing one lets a teammate see exactly that view, even if they can't open the rest of the report.

1. Open your saved view from Analytics → Reports → Favorites.
2. Click Share and add teammates.

Shared views are view only: teammates can't change the filters or export. If you edit the saved view later, they see your changes. Teammates find shared views under Shared with you in Analytics → Reports. Sharing a saved view doesn't send an email, so let them know it's there.

Share the Celebrations page

Click Share on the Celebrations page. For client celebrations you can choose View only, Can email & text (also contact the clients listed), or Owner (also share the page). Team celebrations offer View only and Owner.

Limit a role to chosen reports and dashboards

1. Go to Staff → Team → Roles & Permissions and open a custom role.
2. In the analytics permissions, turn off Access all reports and choose the reports this role can open.
3. Turn off Access all dashboards and choose its dashboards.
4. Click Save changes.

Everyone with that role now sees only what you chose, plus anything shared with them individually. Custom permissions →
