Birthday reports
See which instructors and clients have a class near their birthday, and how Arketa matches classes to birthdays.
Arketa's birthday reports surface classes that fall near someone's birthday, so you can celebrate the moment or plan a little something around it. You'll find them in your reports list under Analytics → Reports.
The two birthday reports
There are two versions of the report. They work exactly the same way — the only difference is who the birthday belongs to.
| Report | What it shows |
|---|---|
| Instructors Birthdays | Classes the instructor is teaching near their birthday |
| Clients Celebrations | Classes the client has signed up for near their birthday |
The matching logic below is identical for both. Whenever we say "birthday" it means the instructor's birthday on one report and the client's birthday on the other.
How the birthday date is calculated
Birthdays repeat every year, so Arketa first works out which birthday date to use:
- If the birthday has already happened this year, it looks ahead to next year's birthday.
- If the birthday hasn't happened yet this year, it uses this year's date.
For anyone born on February 29, Arketa treats the birthday as February 28 in years that aren't leap years.
The 7-day birthday window
Once Arketa knows the birthday date, it looks for upcoming classes within 7 days before or after that date.
For example, if someone's birthday is January 15, Arketa considers any class scheduled between January 8 and January 22.
Which class gets picked
If there's more than one class inside the window, Arketa picks the one that lands closest to the actual birthday.
