Google Calendar sync

Sync your Arketa schedule to Google Calendar for a unified view of your appointments and classes.

The Google Calendar integration syncs your Arketa classes and appointments to a Google Calendar of your choosing. Everything you schedule in Arketa appears on that Google Calendar. Google Calendar events are never added to your Arketa schedule, but Arketa does read them when it works out which appointment times clients can book — see How Google Calendar affects your availability.

Only future classes added after you connect the integration will sync. Previously scheduled classes don't appear.

Whose classes sync

Each person connects their own Google Calendar, and by default only the classes they're listed as teaching sync to it. A class syncs to the calendars of its assigned instructors, not to everyone at the studio.

This means that if you're the studio owner and your classes are assigned to instructors who haven't connected their own Google Calendar, nothing appears on your calendar even though the integration shows as connected.

To put your whole studio schedule on your own calendar, go to Settings → Integrations → Google, and under Select Calendar turn on Sync all studio classes to this calendar. Arketa then adds every upcoming class in your studio to the calendar you picked, including classes taught by instructors who haven't connected Google. Turning it back off removes those classes again.

This toggle appears only for the studio owner, and only after you've selected a calendar.

Connect Google Calendar

  1. Go to Settings → Integrations
  2. Click Enable next to Google Calendar
  3. Sign in to your Google account
  4. Accept the permissions and click Continue
  5. Select the calendar you want Arketa events to appear on

Confirm that calendar is checked (visible) in your Google Calendar sidebar. In Google Calendar, look at the bottom-right panel and make sure the calendar you connected is toggled on.

How Google Calendar affects your availability

Once your calendar is connected, Arketa checks it every time it works out which appointment times a client can book. Any timed event on that calendar that Arketa didn't create makes the overlapping time unbookable, so a personal appointment on your Google Calendar closes that slot on your booking page.

A few details worth knowing:

  • Every timed event blocks, not only the ones marked Busy. An event marked Free, and an invitation you declined, still block the time.
  • All-day events don't block. Only events with a start and end time do.
  • This applies to appointments and private sessions only. Group classes run at the times you scheduled them and are unaffected.
  • Classes Arketa put on the calendar don't block themselves. Arketa recognizes its own events and ignores them.

If an appointment time is missing from your booking page and your availability looks correct, open the connected Google Calendar on that date and look for an event covering it. Moving or deleting that event brings the time back. To stop Google Calendar affecting your availability entirely, disconnect it under Settings → Integrations.

Verify the sync is working

After connecting, add a new class or appointment in Arketa. It should appear on your Google Calendar within a few minutes.

If you don't see it, check that you're viewing the correct calendar — look under Settings → Integrations to confirm which calendar is connected.

Privacy note

By default, the event title from Arketa (including client names for appointments) is visible to anyone who can see your Google Calendar. If you share your calendar and want to hide event details, enable Hide event title and only show "Busy" in your Google Calendar settings for that calendar.

Frequently asked questions

Why don't my old classes show up? Only classes added after the integration was enabled are synced. Previously scheduled classes are not retroactively pushed.

Can I block time in Arketa through Google Calendar? Yes, for appointments. Any timed event on your connected calendar that Arketa didn't create blocks that time on your booking page — including events marked Free and invitations you declined. All-day events don't block, and group classes aren't affected. To block time inside Arketa instead, use the availability overrides in your scheduling settings.

Why is an appointment time missing from my booking page? If your availability hours cover the time and nothing is booked, check the Google Calendar you connected for an event on that date. Any event Arketa didn't create blocks the overlapping time. Move or delete it to reopen the slot.

Why do I see "This Google account is already connected to another Arketa account"? A Google account can only be connected to one Arketa account at a time. If you run more than one studio, or previously enabled the integration on a different Arketa account, go to Settings → Integrations on that other account and disconnect Google there first — then reconnect it here. You can also keep the existing connection and use a different Google account for each Arketa account.

Does this work with iCloud or Outlook? Arketa only integrates with Google Calendar. Both iCloud and Outlook can sync with Google Calendar, so you may be able to chain the integrations:
